A price quote describes the cost of products or work to be performed. Unlike a job estimate, which only estimates costs, a quote can be legally binding once a customer accepts it, at which point clients receive an invoice for the goods or services in the quote. Freelancers, construction contractors, and many others use quote forms. Download free quote templates for Microsoft Excel and Word, PDF, and Google Sheets for an efficient quotation process.

The Value of a Price Quote

There are a few benefits to providing customers with a sales quote for goods or a service quote for hourly work. Here are some of the ways that businesses can benefit from offering quotes:

  • Legal Documentation: If a misunderstanding occurs while working with a client, especially one that could lead to a legal dispute, the price quote serves as proof of an agreement.
  • Professional Image: Presentation matters when businesses are competing against each other for a bid. A professional quote is one element of helping customers feel confident about working with you.
  • Standardized Process: Having a standard quote template that you can adjust slightly for specific clients helps save time and boost efficiency.
  • Accurate Records: Having easy access to information about previous sales orders or projects can help you provide better customer service to ongoing clients. Keeping records is important not only for handling potential disputes, but also for building client relationships.

Price quotes provide clear communication to customers about pricing and the terms and conditions of an agreement.

What to Include on a Quote

If you’re creating quotes for potential clients or responding to a request for quote (RFQ), here are some important details to consider including:

  • Expiration Date: Quotes are only valid for a limited period of time. Include an expiration date so that customers know the deadline for deciding whether to accept the quote and enter into a sales agreement.
  • Quote and Customer ID Numbers: Use tracking numbers to keep records organized and easily accessible.
  • Preparer: Including the name of the person who prepared the quote lets clients know who to contact if they have questions about information in the quote or how to complete the sale.
  • Contact Information: A quote form typically includes contact info for both the customer and supplier.
  • Shipping Details: If items will be shipped, you can choose to include the shipping method, delivery date, costs, and other details.
  • List of Goods or Services: Provide a detailed list of goods or services along with prices for each item. For service quotes, this may include descriptions of each task to be completed, the number of hours needed, and the total cost based on an hourly rate.
  • Net Price: Clearly list the net price including taxes, shipping fees, and other charges. Clients shouldn’t find out about any hidden costs later. The quote is designed to establish a final sale — as opposed to a job estimate, which may change. If you are offering incentives such as discounts to new clients, be sure to also subtract that amount from the total expenses.
  • Terms and Conditions: In some cases you may only need to add payment terms. If you need to spell out other terms and conditions, include a section for those details.
  • Customer Signature: Quotes often include a signature line for clients to formally acknowledge their acceptance.

Once a quote is accepted, you can turn it into an invoice by simply removing the expiration date, changing the quote number to an invoice number, switching the preparer to salesperson, and adjusting any other details so that the form can serve as a bill rather than a quote.
